Project Overview

Datetric is a user-friendly appointment booking SaaS that simplifies scheduling by providing personalized portals and unique booking links. Designed for universal accessibility, it streamlines appointment management for both users and clients, enhancing efficiency and convenience.

My Role

As a UX designer, I had to simplify the software and enable users to effortlessly create their own portals. This involved designing intuitive workflows and tools for admins and clients, ensuring a smooth experience for all.

Audit & Analysis
My initial task involved conducting an audit of the first version of the software to pinpoint existing issues and identify user needs. Through this process, I developed hypotheses to address these issues, which would later be confirmed through testing and iteration. Additionally, I conducted a competitive analysis and desk research to gather insights and inspirations from similar products in the market, enhancing the design strategy and decision-making process.
Key Findings

After thorough investigation and observations, I've endeavored to identify the challenges both administrators (professionals) and clients might encounter when utilizing an appointment booking tool. Here are the potential pain points that clients and professionals could face:

Principal Solutions
Complex Onboarding
Offer step-by-step guides or video tutorials to simplify setup, provide templates or pre-configured settings for quick customization, and ensure responsive customer support to assist users during onboarding.
Limited Customization Options
Introduce a user-friendly interface for customizing booking portals, offering a range of customizable templates and themes to suit various industries and preferences, and enabling advanced customization options through theme editor.
Scheduling Conflicts
Implement real-time calendar synchronization with popular apps, introduce conflict detection algorithms to alert users of scheduling conflicts, and offer flexible rescheduling options including automated suggestions for alternative appointment times.
Inadequate Client Communication
Integrate automated appointment reminders via email, SMS, or push notifications to reduce no-shows, include built-in messaging/chat functionality for direct communication between professionals and clients, and provide status updates and notifications throughout the appointment lifecycle, from booking confirmation to post-appointment follow-ups.
Data Security and Privacy
Ensure data security by employing robust encryption, adhering to industry regulations, and providing transparent privacy policies.

Portal Setup During Onboarding

I experimented with multiple user flows to simplify the onboarding process, prioritizing simplicity without overwhelming users with excessive options. Users start by entering company details, followed by working hours and services selection. With the option to choose from premade templates, users have a ready and functional portal from the start, with the flexibility to customize and add information gradually.
